PAYMENT RECONCILIATION / UK SUBSCRIPTION BUSINESSES

Payments in.
Loose ends out.

Your payouts, invoices and accounts finally agree, without someone checking spreadsheets every week.

Match with rules. Investigate with context. Hamsa connects your payment, billing and accounting tools so routine matching runs on its own. When something doesn’t add up, AI reads the statements and emails and drafts the fix. Your team approves every change.

A payment is short.
What happens next?

TODAY

£735 arrives against a £750 invoice. Someone checks the processor statement, finds the fee and updates a spreadsheet.

  1. 01 Pull the payment, invoice and processor records together
  2. 02 Explain the difference, with the statement as evidence
  3. 03 Approve the fix and check it was applied

THE WORK WE IMPROVE

Close the gaps
between your tools.

For small finance and operations teams whose payment process still depends on spreadsheets, inboxes and someone knowing what to check.

PAYMENTS → FINANCE

Match the routine.

Bring payment, fee, invoice and subscription records together. Match them with rules you agree, and keep anything unmatched on a clear list.

Payments & integrations
EXCEPTION → NEXT STEP

Investigate the awkward cases.

Short payments, missing fees, duplicates: gather the evidence, explain the difference and send the fix to the right person to approve. AI helps where a case needs reading, not just matching.

Automation & AI agents
RECORDS → REPORT

Stop rebuilding the report.

Build the weekly or month-end report once. Every figure traces back to its source, with a list of what is still open.

Reporting & review tools
EXISTING SYSTEM → BETTER PROCESS

Improve the useful part.

Start with what your current tools can already do, then build only the missing piece.

Review & modernisation

WHERE AI FITS

Approved isn’t final.
The evidence is checked again before anything changes.

AI does the legwork on the cases that need reading. Your team keeps the authority. Every suggested fix comes with its evidence and waits for the right person before anything changes.

01 / LIMITS

Agreed limits.

Your process owner agrees which records the AI may read and which changes it may propose. Anything outside those boundaries is refused.

02 / SIGN-OFF

Your team approves.

The AI can draft a fix but cannot approve it. Your team owns business approvals and only permitted changes go ahead.

03 / RECHECK

Checked again before it’s applied.

Required approval and fresh evidence checks come before any write. Stale approvals, missing evidence and changed facts are tested before rollout.

A DEFINED FIRST ENGAGEMENT

One payment workflow.
A measurable pilot.

Measure how long it takes today, fix one part of it, then measure again.

A Payment Operations Pilot covers the integration, the review screens and the checks in one fixed-price engagement. Hamsa does the engineering directly.

Explore the Payment Operations Pilot

WHAT THE PILOT COVERS

  1. 01

    Today’s baseline

The systems involved, sample cases, the time your team spends and what success looks like.

  2. 02

    One working improvement

The agreed connection or workflow, including how exceptions are handled and who approves changes.

  3. 03

    A result you can assess

A before-and-after comparison, known limitations and a recommendation on what to do next.

Everything is fixed in a written quote before paid work starts.

MAKE THE BUSINESS CASE

What is the manual work
costing your team?

Put a value on the time involved, then try a reduction. A pilot measures what actually changes.

Uses your figures and 48 working weeks. Time freed up isn’t the same as cash saved, and this isn’t a quote. Costs exclude VAT.

Add project costs and inspect payback

Discuss this scenario

KNOW WHAT YOU ARE BUYING

A fixed price.
A clear decision.

One engineer responsible for delivery. A written agreement before work starts. A clear result before deciding what comes next.

FIRST CONVERSATION / 30 MINUTES

Bring one example.

Describe the recurring task, the tools involved and what it costs you. We’ll say honestly whether an existing product or a simpler process would do.

BEFORE PAID WORK

Review the fixed quote.

Agree what you’ll receive, the dates, the access needed, who approves what, and all costs.

BEFORE ROLLOUT

Check the result.

Compare staff time, exceptions, errors and running costs with the baseline. Agree ownership, hosting, handover and any support in writing.

Assessment £1,500 fixed · pilots typically £5,000–£9,000

An assessment maps one workflow and tells you whether a build is worth it; the findings are yours either way. Each pilot is fixed in a written quote, and no paid work starts until you approve it. Prices exclude VAT. See what the quote covers.

Where do the
records stop agreeing?

Tell Hamsa which systems you use, what your team checks by hand and roughly how much time it takes. A few sentences are enough to assess a useful first step.

  • One business problem to discuss
  • A written scope and quote before paid work
  • Direct access to the engineer doing the work

A few useful answers.

What happens after I get in touch?

Hamsa reads your note and replies personally. The first conversation takes 30 minutes and focuses on the problem, the tools you already use and what better would look like. If there is a fit, you receive a written scope, fixed quote and delivery dates before any paid work starts.

Can you work with our existing systems?

Yes. Hamsa has worked on NetSuite, Zuora, Stripe and Salesforce integrations in previous roles, and starts by checking what your current tools can already do. There are no ready-made connectors or vendor partnerships: each connection is built and tested for your setup, and any new software or running cost is explained before you commit.

Where do AI agents fit?

Ordinary rules handle exact matching and calculations. Where a case needs reading, such as a remittance email or a processor statement, an AI agent can gather the relevant records and suggest a fix. A person approves any change before it is made.

Can we start small, and what will it cost?

Yes. You can start with a £1,500 fixed-price assessment of one workflow; the findings are yours whether or not you build anything. Pilots are typically £5,000–£9,000, fixed in a written quote that also lists dates, your team’s involvement and any hosting, subscription or support costs. Prices exclude VAT.

What happens after delivery?

Handover includes documentation and a walkthrough appropriate to the work. We agree ownership, hosting responsibilities and any ongoing support as part of the scope, so you know who looks after what.
